The admin your team stopped doing

CRM automation and AI assistants

Rules that follow up every lead, chase every quote and nudge every stalled job, plus AI helpers that draft the email and summarise the call so your people only decide.

Who this is for

Built for

Teams where leads go cold because nobody followed up on Tuesday. Managers who chase staff to update the CRM. Businesses paying for a marketing automation tool and a CRM that do not talk. Owners curious about AI but not willing to hand customer data to a chatbot.

Follow up sequences that stop when the customer replies

New enquiry gets a reply in five minutes, a second touch on day two, a call task on day four. The moment the customer answers, the sequence stops and a human takes over.

Lead routing and SLAs

Round robin by territory, service or language, with escalation if a lead sits untouched for an hour. The rules are visible in the CRM so managers can change them without asking a developer.

AI that works from your data

Draft replies in your tone from the customer's history, summarise a recorded call into the deal notes, score inbound leads against the ones you actually won. Runs through Claude or OpenAI under your own API key, and nothing is used to train anyone's model.

Reports that arrive by themselves

Monday pipeline email to the sales manager, Friday jobs report to operations, end of month revenue by service. Built once, delivered forever.

Questions we get asked

What does CRM automation cost?

Inside a custom build, automation is part of the fixed price. As a standalone project on an existing CRM, a follow up and routing package is 1,500 to 3,500 US dollars depending on the number of sequences and channels. AI assistants add 900 to 2,400 dollars plus the API usage, which for most small teams is under 30 dollars a month.

Is AI in a CRM safe for customer data?

It can be, if it is set up properly. We call the AI provider through your own API key, under business terms where your data is not used for training, and we send only the fields the task needs. Nothing is stored by the AI provider beyond the request. We document exactly what is sent, so you can show your customers or auditors.

Will automation annoy our customers?

Not if the rules are right. Every sequence stops the moment a customer replies, respects business hours and time zones, and has a cap on touches. We write the messages with you, in your voice, and start with the sequences your best salesperson already runs by hand.

Can we change the rules ourselves?

Yes. Automations live in a settings area of the CRM where an admin can edit delays, messages, conditions and who receives what. Structural changes, such as adding a new kind of trigger, are done by us and usually land within a working day under the care plan.

Do you replace tools like Mailchimp or ActiveCampaign?

For one to one follow ups, reminders and internal alerts, yes, the CRM does it better because it knows the customer's stage. For newsletters and large campaigns we usually keep your email marketing tool and sync the audience from the CRM, which is cheaper than rebuilding a bulk sender.
