Process first, software second

CRM consulting and process design

Two weeks of structured interviews, process mapping and data audit that end in a specification your team agrees with, whether we build the CRM or you buy one.

A whiteboard project plan with sticky notes for each week

Who this is for

Built for

Owners and operations managers who know the current system is failing but cannot say exactly what the replacement should do. Companies about to sign a five figure SaaS contract. Teams with three tools doing one job. Anyone burned by a previous CRM rollout that nobody used.

We interview the people who do the work

The sales manager, the person who raises invoices, the technician who updates job notes from the van. The spec reflects what they need at 4 pm on a Friday, not what a vendor demo shows.

Your data gets audited before it is moved

Duplicate contacts, orphaned deals, fields nobody fills in. We measure the state of your current data and design the clean up so the new system starts with numbers you can trust.

A written specification, not a slide deck

Record types, fields, pipelines, permissions, automations, reports, integrations and migration plan, in a document any developer or vendor can price. It is yours to keep.

Honest advice on buy versus build

Sometimes a 30 dollar a month tool is the right answer and we say so. The consulting fee is credited against the build if you continue with us, so there is no incentive for us to oversell.

What you get

Every engagement includes

  • Interviews with every role that touches the CRM
  • Current process map and pain point log
  • Data audit with duplicate and completeness scores
  • Target data model and pipeline design
  • Written specification with priorities and phases
  • Fixed price quote for the build, or a shortlist of tools if buying

Questions we get asked

What does CRM consulting cost?

The two week discovery and specification is 1,900 US dollars for businesses up to 30 people and 3,900 for larger or multi location companies. If you go ahead with a build the fee is deducted from the fixed price. For a half day process review with written recommendations we charge 490 dollars.

Do we have to build with you afterwards?

No. The specification is written so that any developer or vendor can price it, and about a third of consulting clients use it to configure a tool they already pay for. We would rather you end up with the right system than sell you a build you do not need.

How is this different from a CRM vendor's demo?

A vendor shows you their product and looks for ways your process could fit it. We start from your process and only then ask what software fits. The output is a written document describing your own business, which you keep and can hold any vendor against, including us.

Can you review a CRM we already have?

Yes. We audit an existing HubSpot, Zoho, Pipedrive, Dynamics or Salesforce setup, measure adoption and data quality, and tell you whether to fix it, rebuild it or replace it. Most reviews find the problem is process and permissions rather than the software, and the report says so plainly.

Is the consulting done remotely?

Yes, everything runs over video interviews and shared documents, in your own time zone. Interviews are 30 to 45 minutes each and recorded with permission so nothing is lost. You receive the finished specification as a shared document, with a walkthrough recording you can send to anyone internally.

Tell us how your business works. We will quote the CRM that fits it.

A 30 minute written brief from you, a fixed price and a two page scope from us within two business days. No call required, no obligation.
