One of twelve industry systems we build from, each with its own screens, workflow and vocabulary. JobBoard carries dispatch map, routes per technician and a phone view built for the van, plus the pipeline, inbox with SMS and email, quotes the customer accepts online, schedule, editable automation flows, reports and a phone view. Sample data in your browser only. Your build carries your own stages, fields and rules.

Who this is for

Built for HVAC companies

Residential and light commercial HVAC contractors with 2 to 40 technicians who are juggling a dispatch spreadsheet, a quoting tool, QuickBooks and a pile of maintenance agreements that renew whenever someone remembers.

Estimates that turn into jobs without retyping

Good, better, best options built from your price book. When the homeowner approves on their phone, the job, the parts list and the deposit invoice are created for you.

Maintenance agreements that renew themselves

Spring and fall visits scheduled from the agreement, reminders to the customer by SMS, renewal invoices raised 30 days ahead, and a report of agreements at risk of lapsing.

A dispatch board with drag and drop

See every tech's day, move a job, and the customer gets an updated arrival window by text. Techs see their route, the equipment history and the last visit's notes before they knock.

Equipment history that sells the replacement

Age, repairs and refrigerant type on every unit, so when a 14 year old system fails again the tech can show the customer the repair history and quote a replacement on the spot.

Questions we get asked

How much does an HVAC CRM cost to build?

A custom HVAC CRM with estimates, jobs, scheduling, maintenance agreements and QuickBooks sync is typically 9,900 to 14,900 US dollars as a fixed price, delivered in six to eight weeks. A simpler lead and estimate tracker starts at 4,900. There are no per-technician fees afterwards, which is where most HVAC software gets expensive.

Can technicians use it from the truck?

Yes. The technician view is built for a phone: today's route, the customer's equipment history, a checklist for the visit, photo capture, parts used and a signature. It is built for a phone rather than shrunk onto one, works on a weak signal, and saves offline edits until the handset reconnects.

Does it handle maintenance plans?

Maintenance agreements are a first class record. Each plan carries its price, visits per year and renewal date, visits are generated onto the schedule automatically, customers get reminders and renewal invoices go out 30 days ahead. A report shows plans lapsing this month so the office can call before they cancel.

Will it sync with QuickBooks?

Yes. Customers and invoices sync both ways with QuickBooks Online or Desktop. A completed job creates the invoice with the parts and labour lines, payment status flows back to the CRM and the customer record shows any outstanding balance before you book their next job.
