CRM data migration services

A CRM migration run to a written method rather than a migration tool and hope: contacts, deals, activity history, notes and files out of the old system and into the new one, with a verification report showing exactly what went where.

Who this is for

Built for

Businesses leaving Salesforce, HubSpot, Zoho, Dynamics, ACT, Maximizer or a home grown Access database. Companies merging two CRMs after an acquisition. Teams whose customer list lives in six spreadsheets and one person's memory.

Extract everything, including the history

Not just contacts. Deals, stages, dates, notes, tasks, emails, call logs and attachments come across with their original timestamps, so a customer record still tells the story.

Clean and deduplicate with rules you approve

Matching on email, phone and normalised names, with a review list for the uncertain ones. You decide the rules, we run them, and the duplicates are merged rather than dropped.

Map old fields to new ones, in writing

A mapping document lists every source field, its destination and any transformation. Picklists are reconciled, free text is preserved, and fields nobody used are retired with your sign off.

Verify before the old system is switched off

Record counts, spot checks and a reconciliation report per object. The old system stays read only until you confirm, and we keep an export archive for you either way.

What you get

Every engagement includes

  • Source data audit with counts and quality scores
  • Field mapping document you sign off
  • Deduplication with a review list
  • Test migration into a staging copy
  • Live migration with a reconciliation report
  • Archive export of the source system

Questions we get asked

How much does a CRM data migration cost?

A migration of contacts and deals from one system to another starts at 900 US dollars for under 10,000 records with clean data. Migrations with notes, emails, attachments and several years of history run 1,900 to 4,900. Merging two CRMs or moving out of a heavily customised Salesforce is quoted after an audit, which we do for a fixed 290 dollars credited to the project.

Will we lose the history of deals and emails?

No. We extract activity history, notes, emails and call logs with their original dates and attach them to the migrated records. Where the destination CRM cannot hold a data type, we tell you before we start and provide an archive so the history is never lost.

How long does a migration take?

One to two weeks for a straightforward move, three to four when there is cleaning, deduplication and years of history. The live migration itself runs overnight or across a weekend, so there is never a working day on which staff cannot see their own customers.

Can you migrate from spreadsheets?

Yes, and it is a large part of the work we do. Multiple spreadsheets are combined, columns mapped to fields, duplicates across files merged and dates normalised. Duplicates across files are merged and dates are normalised, and we show you a sample of 50 migrated records for approval before touching the full set.

What about GDPR and privacy during the migration?

Data is processed under a written agreement, transferred over encrypted connections, kept only on the systems you approve and deleted from any working copies within 30 days of sign off. For UK and EU clients the migration can be run entirely on servers in your region.
