GuestBook: the hotels edition, in your browser

One of twelve industry systems we build from, each with its own screens, workflow and vocabulary. GuestBook carries occupancy and functions on one calendar, plus the pipeline, inbox with SMS and email, quotes the customer accepts online, schedule, editable automation flows, reports and a phone view. Sample data in your browser only. Your build carries your own stages, fields and rules.

Use Expand in the demo toolbar for a full screen view, press Escape to close it, or open the hotels demo on its own page.

Who this is for

Built for hotels

Independent hotels, boutique groups and serviced apartment operators with 30 to 500 rooms, whose property management system holds reservations but nothing about the relationship, and whose sales team tracks corporate accounts in a spreadsheet.

Guest profiles across stays

Stay history, room preferences, spend, complaints and compliments from the PMS on one profile, so the front desk and the sales team know who is arriving.

Corporate account management

Negotiated rates, contracts, production against target and review dates, with the account manager's activity logged and a production report per account.

Group and event pipeline

Enquiries with dates, space and F&B requirements, proposals and contracts generated from templates, deposits tracked and a function sheet handed to operations.

Pre arrival and post stay communication

Pre arrival emails with upsells, post stay thanks with a review request and a direct booking offer, and win back campaigns for lapsed guests.

Pipeline

The stages work moves through

A starting point we adjust to your process in the first design week. Each stage can require fields, trigger messages and create tasks.

  1. Enquiry
  2. Proposal sent
  3. Site visit
  4. Contract sent
  5. Confirmed
  6. In house
  7. Post stay
  8. Repeat

Questions we get asked

How much does a hotel CRM cost?

A hotel CRM with guest profiles, corporate accounts, group and event pipeline and communication is typically 12,900 to 19,900 US dollars fixed, delivered in seven to nine weeks. A sales and events pipeline on its own starts at 5,900. No per-user fees for the sales, front office and events teams.

Does it connect to our property management system?

Yes. Reservations, stays and spend are synced from the PMS by API where available, or by scheduled export, and matched to guest profiles. The CRM never replaces the PMS. It adds the relationship, sales and communication layer the PMS has never had, and the two are reconciled nightly so neither drifts.

Can it manage group and event bookings?

Yes. Enquiries are tracked from first contact to contract with dates, rooms, meeting space, catering and AV, proposals and contracts are generated from templates, deposits and payment schedules are tracked and a function sheet is produced for operations. Post event feedback is collected and logged against the organiser, so repeat corporate bookings are chased the following year with the previous event's details to hand.

Will it help us get more direct bookings?

That is a main purpose. Post stay emails with a direct booking offer, preference based campaigns, win back sequences for lapsed guests and corporate account outreach all drive direct revenue, and the reports show bookings by channel and by campaign, so the shift away from commission is a number you can put in front of the owners.
