Retainer: the MSPs and IT service providers edition, in your browser

One of twelve industry systems we build from, each with its own screens, workflow and vocabulary. Retainer carries retainers, MRR and renewals on a 12 month strip, plus the pipeline, inbox with SMS and email, quotes the customer accepts online, schedule, editable automation flows, reports and a phone view. Sample data in your browser only. Your build carries your own stages, fields and rules.

Who this is for

Built for MSPs and IT service providers

MSPs and IT service providers with 5 to 100 staff whose PSA runs tickets and billing but whose sales, quoting, agreements and renewals live in spreadsheets and a general purpose CRM that does not understand recurring revenue.

Quotes with recurring and project lines

Quotes that separate monthly recurring, one off project and hardware lines, calculate margin per line and convert to an agreement on signing.

Agreement and seat management

Seat counts, per seat pricing, terms, uplifts and renewal dates, with a monthly recurring revenue report and changes logged for billing.

Licence and vendor renewals

Microsoft, backup, security and other licences per client with renewal dates and cost against sell, so renewals are quoted before they lapse.

Account reviews

Quarterly business reviews scheduled per client, with a pack generated from ticket, project and licence data.

Questions we get asked

How much does an MSP CRM cost?

An MSP CRM with pipeline, quotes, agreements, licence renewals and account reviews is typically 9,900 to 15,900 US dollars fixed, delivered in six to eight weeks. A pipeline and quoting tool starts at 4,900. No per-user fees. MSPs that also want the licence renewal module and CSP import usually sit in the upper half of the range, and quotes are fixed after a short written discovery.

Does it integrate with our PSA?

Yes. Clients, contacts, agreements and billing sync with ConnectWise, Autotask, HaloPSA or Syncro by API, so a signed agreement becomes the PSA contract without retyping. Ticket and project data can be pulled in for account reviews and health scoring. The sync runs both ways where the PSA allows it, and a nightly reconciliation flags any client or agreement that differs between the two systems.

Can it track licence renewals?

Yes. Each client's licences are recorded with vendor, quantity, renewal date, cost and sell price. Renewals appear on a board ninety days out, quotes are generated from them and margin is reported per client. Microsoft CSP data can be imported on a schedule to keep seat counts current.

Does it handle recurring revenue reporting?

Yes. Agreements and licences feed a monthly recurring revenue report by client and service, with changes, churn and growth shown month by month. Pipeline is weighted so you can forecast recurring revenue for the coming quarters. The report separates managed services, licences and project revenue, so you can see where growth actually comes from rather than one blended number.

Does it work for telecom providers?

Yes. Telecom resellers, ISPs and unified communications providers get the same structure as an MSP with telecom specifics: sites with circuits and numbers, contract end dates, porting status, usage and monthly recurring revenue per account. Renewal reminders arrive months before contracts end, which is where telecom CRM software pays for itself.
